Privacy policy

Anchor3D OS, the internal operations and finance system of Anchor3D, Inc., Austin, Texas. Effective November 4, 2026.

This policy describes what information Anchor3D OS holds, where it comes from, how it is used and who can see it. The OS is an internal system of Anchor3D, Inc.; its only users are Anchor3D's own employees and contractors, and the information in it is the company's business information.

1. Information the OS holds

  • User accounts. Name, work email address and role, taken from the person's Anchor3D Microsoft 365 account when they sign in with Microsoft. The OS stores no passwords for Microsoft accounts.
  • Business records. Customers and their contacts, bids, proposals, jobs, schedules, timesheets, invoices, payments and planning figures that Anchor3D's people enter or that the OS reads from the connected services below.
  • People records. For Anchor3D's own staff: title, division, manager, pay and benefit figures, billable targets, time off. These are visible only to the owners, the accountant, the person's direct manager and the person themselves.
  • Activity. Who changed what and when (approvals, sends, connections, sync passes), kept so the records can be audited.

2. Connected services

  • Microsoft 365. Sign-in through Microsoft Entra ID; reading and writing files in Anchor3D's SharePoint sites and filing emails from Outlook, each as the signed-in person, using tokens Microsoft issues to the browser or to the Outlook add-in.
  • Intuit QuickBooks Online. With an owner's authorization, the OS reads the company's QuickBooks accounting records (customers, invoices, payments, credit memos, estimates, accounts, bank-register entries and financial reports) through Intuit's API, using only the accounting scope. The OS keeps a copy of these records so its own pages can show billing, collections and cash figures, and checks that copy against QuickBooks' own reports. Intuit's authorization tokens are stored encrypted in AWS Secrets Manager, never in the OS database, in a browser or in email. An owner can disconnect QuickBooks at any time from the Integrations page; the OS then revokes its token with Intuit and deletes it. QuickBooks data is never sold, shared with any third party or used for anything but Anchor3D's own operations.
  • Harvest. Historic time entries and schedules imported by Anchor3D's own staff.
  • Amazon Web Services. The OS runs in Anchor3D's own AWS account in the United States (us-east-1): the application, its PostgreSQL database (encrypted at rest, in a private network), file storage and the email service that sends internal notices.

3. How the information is used

To run Anchor3D's business: price and send proposals, set up and schedule jobs, record time, bill customers, collect payment, pay and manage staff, and plan. Internal notices (for example, invoices waiting for approval) are emailed only to Anchor3D staff.

4. Who can see it

Access is by role, enforced on every request: owners, managers, the accountant and team members each see what their role allows, and pages a role can read but not change are shown read-only. Personal and pay information is limited as described above. Nobody outside Anchor3D, Inc. has an account.

5. Sharing

Information is not sold, rented or shared with third parties. It is processed by the service providers above (Microsoft, Intuit, Harvest and Amazon Web Services) only as needed to provide those services to Anchor3D, under each provider's own terms. Information may be disclosed where the law requires it.

6. Security

Connections are encrypted in transit (TLS). The database and secrets are encrypted at rest. Sign-in is through Microsoft Entra ID with the company's multi-factor policy. Service tokens are held in AWS Secrets Manager with access limited to the application. Changes to the system are recorded.

7. Retention and deletion

Business records are kept for as long as Anchor3D needs them for its operations and record-keeping obligations. A user's account is disabled when they leave the company; the records of what they did remain, as part of the company's business history. Copies of QuickBooks records are kept while QuickBooks is connected and may be retained afterwards as part of the company's own books.

8. Your questions

Anchor3D staff with questions about their information, and any service provider with questions about this policy, can write to brady.thompson@anchor3dinc.com. Anchor3D may update this policy; the effective date above changes when it does.
